Choosing an Answering Service: Part I

What does it take to create an amazing call center? Many businesses have tried answering services and been turned off for reasons ranging from they don’t understand my business to pricing issues to rude operators. But, the reality is, small business owners need a break from their business. Finding an efficient live operator answering service to answer calls is a priceless commodity. Throughout this article, I will highlight a few necessities business owners should look into before committing to a service.

First, and most important, test out the answering service before you commit to any contracts. Many services offer a free trial period…one word – “priceless”. The only way to know if a service will work for you is to test them out. Watch out for services that offer a trial then have long contracts you must sign. This is reminiscent of a “bait & switch tactic”. Services will answer your phones amazingly during the trial, get you to sign a long contract, and then drop the ball. Bad news is, you’re locked in to a horrible service.

This brings up the second point, watch out for long contracts. Many answering services are known to switch owners often and hire grossly incompetent operators which result in a serious disruption of quality services. The ideal answering service contract is on a month-to-month term. This forces the call center to be in the hot seat every month. If you have a problem, leave them without penalty.

Thirdly, ask for references. Make sure you get at least 3 references and make sure those references vary by industry. This will prove if the answering service is able to adequately manage calls for many industries. Don’t be shy to ask these references the questions most important to you, for instance, 1) how are their hold times, 2) how is their customer service, 3) Are there hidden charges, 4) how long have you been a customer, etc. Also, make sure you call these references after hours so you can see how they manage calls first hand for other businesses.

Fourth, price is NOT paramount. More often than not, the cheaper the answering service, the worse the service is. Imagine if you have a $15.00 an hour employee compared to a $6.00 an hour employee. Who do you think will care about your calls more? Which employee is more dedicated to their job? Which employee is “job” oriented, and which one is “career” oriented? Along the same vein, it is not a bad idea to ask what the average operator gets paid. If you are looking at a few answering services and the price is right for one but the service is more impressive with the other, go for the more expensive service. Remember, main goal of using an answering service is to expand your business. If you have an unreliable service, regardless of how much money you believe they are saving you in the short run, they are ultimately costing you thousands of dollars in lost revenue.

Setting up a Digital Photo Frame

Simply remove the memory card from the computer or digital camera and insert it into the slot in your digital photo frame. This is usually on the side of the frame somewhere, but if you can't find it then the manual will show where it is. Turn the digital photo frame on and your pictures should appear immediately. Depending on which model you have bought, there will be different controls in different places. Some smaller or more advanced frames come with remote controls, which you'll need to power up with batteries and consult the manual on what buttons control which function. Otherwise the controls should be on the side of the frame, behind the front screen. Most models will allow you to change or reverse the order in which the photographs are shows, remove and swap photographs and even change the speed at which they change with a touch of a button.

Next, you'll want to ensure that any other features are working well. For instance if your digital photo frame uses touch screen to change and edit photos then ensure that it works well and you know what you're doing. Also, some frames have video capability and can play mp3s so you'll want to get your play list just right, or remove any videos that were left on the digital camera memory cards yet unintended for the frame. Do you have all of the pictures, songs and videos on your frame that you wanted? If you find that some are missing then make sure that they are in the same file format as the others. Some digital photo frames will only display .jpeg files, so if you have any others then they won't show up. Don't worry, all you need to do is get them back onto your computer and re-save the files as .jpeg and then transfer them back onto the frame. It's a bit of a nuisance but once you   have done it once you'll remember to save the files in .jpeg format before you transfer them.

This guide should help you with any queries that you have about the set up of your digital photo frame, but if you have any others then you should either contact the supplier or read through the instruction manual. 

Ask The SEC

Who is the SEC and why should I ask them anything? The Securities and Exchange Commission in Washington, DC is the government bureau that regulates the securities industry. They make the regulations that all stock exchange listed companies, brokerage houses and mutual funds must follow.

My readers know that I am a believer in the purchase of mutual funds for investment and retirement accounts. The reason is that very few people are qualified to choose stocks. Unfortunately that also applies to many mutual fund managers especially when you look at the performance of the majority of funds for the year 2000.

I can excuse the average Joe for not being able to pick winners, but I cannot excuse a fund manager who is paid huge amounts of money (always 6 figures and mostly 7 figures) to lose the cash of the little people who invest. There are 77,000,000 owners of mutual funds and 80% of them have less than $50,000 in their accounts. Why is anyone giving them their money to have them lose it? These are the “experts”.

Yes, they are accountable to you, but there is only one way to make that accountability register and that is to close out your account. If you are losing money then take it away from your current “expert” and put it with a mutual fund that is currently going up. And when that one starts down you switch to another one that is going up. My experience shows you will not be changing more than about once or twice a year. But you will not give back 30% to 50% of your money by doing this.

You see mutual fund managers are paid not on performance, but on how much money they have in the fund. That is one of the reasons they always tell you to Buy and Hold. You buy. They hold. They make money. You don’t.

Back to the SEC. Here is what you need to ask them. Why can’t mutual fund managers be paid a percentage of the profits they generate rather than skimming a percentage off the top every year even when they lose the customers’ money? I doubt you will get a satisfactory answer, as you can be sure the mutual fund lobby has more influence than you do. The same may be true if your Congressman were to institute that as a law. He gets campaign contributions from the lobbyists.

This rule is already being allowed for hedge funds, which are very similar to mutual funds; however, only rich people can buy these. Maybe it is time someone had the SEC look after the interests of the small mutual fund investors. If you get an answer please let me know.

Take This Zen Test: Can You Practice When You’re Agitated?

Zen is so simple in theory.

The general idea is to be completely where you are, for whatever is happening, when you’re there.

If you feel joy, be there for it, and if you’re getting a route canal, be there for that.

In a sense, we can’t really escape from what is in front of us, though we try.

For example, at Santa Monica beach, I’m amazed at the number of rollerbladers, joggers, and walkers who anesthetize themselves with earphones tuned into music. Isn’t it enough, I wonder, to hear the ocean’s waves, the gulls jabber, and people laughing?

Why do we need a soundtrack when nature’s own is perfectly cool, ever changing, and in accord with deep rhythms and patterns?

Or, let’s say you try to avoid a certain amount of unpleasantness with your boss, choosing to suppress your negative feelings about a decision he made, instead of expressing them.

Where do you think those feelings go?

Do they vanish because we wish them away? Or, is it more likely that they get twisted into our back muscles, making us sore and tight?

We go to the chiropractor for relief, and we get some symptomatic help, but any reminder of our office makes us tense up, once more.

If you read my articles you know that I’ve unplugged from cable and satellite TV, so I watch very little, unless I’m on the road.

On a recent trip, I was watching the “Godfather” trilogy, which is still completely amazing after all these years, and what stunned me were all of the commercials for pain relief, and for maladies about which I had been utterly clueless.

If you actually suffer from any of these, please excuse me, but I think merely watching these ads can make you nuts, just by internalizing the idea that so many things can go wrong.

The thought came to me that there is probably someone out there who is taking 500 pills a day, a hypochondriac to be sure, but somehow he believes that he is so threatened by daily life that he must, lest his world will fall apart.

Do you know what that device is called in the middle of the washing machine that moves back and forth, relentlessly?

An “agitator.” That’s what TV is, but TV is also emblematic of everyday life.

Life agitates us, twisting us this way and then that way, lifting us, and then pummeling us.

The Zen question is: Can you “practice,” which is to say, can you maintain focus on essentials, on your basic work of waking up, becoming more enlightened about this experience we’re all having as humans, while you’re agitated?

For instance, from time to time, people come into my office while I’m writing, and they’re conversing loudly, sometimes disagreeing, and spewing hostility into the air.

My trained response is to continue writing, and to not resist their intrusions.

I’m not actually shutting out or blocking anything, but just continuing to focus on where I am in my writing. When I achieve this, I’m doing Zen.

Back to that buried conflict with the boss. Sure, you’re afraid to express your feelings, but can you still do it, though you’re less than completely comfortable?

That’s the time when Zen rolls up its sleeves and gets down to work!
